Editing a Work Order
Solution No. 53

From the Work Order List Screen you can edit an individual Work Order that has already been scheduled. 

To edit a work order:

  1. Click on the Work Orders for SaaSphalt tile

  2. Select the Date Range in the From: and To: date fields (or select All Work Orders in the drop-down box to show all work orders).

  3. Find the Work Order from the list that you wish to edit. To make it easier, use the search box to find a specific Work Order by date/time, customer contact information, the user the job is assigned, type of job, or its completion status.

  4. Click on the Work Order that you wish to edit. This will bring you to the Edit Work Order screen.

  5. From this screen you will be able to:
  • Select a starting and ending date either by entering the date and time in the proper format or by using the calendar in the text box. Selecting an end date that is different than the starting date will cause that work order to span from the start time to the end time on the calendar (covering all days in between). 
  • Assign the work order to a specific user using the Assigned To drop-down field. To change the user or crew to whom the work order is assigned, simply select a different user from the menu.
  • Select the status of the Work Order. Selecting "Waiting List" sends the Work Order back to the Waiting List that is seen in the Calendar screen and removes it from the large calendar. 
  • Select the sending status of the invoice; whether it has been sent ("Invoiced"), due to be sent ("To be invoiced"), or if it doesn't need to be sent out ("Do not invoice").
  • Enter instructions or notes for the user or crew performing the work order. 
  • Edit an existing or Add a New Job Item
  1. Click Save when done. 


Editing an Existing Job Item:

Sometimes the Work Order calls for a difference in the job formula you assigned to the job. Maybe the job requires more loading/unloading than the one the job formula normally calls for. Perhaps you are going to use more than one crew for the job, so you want to take into account for the multiple vehicles' travel time. Or maybe you just want to edit a job's rate because you are feeling generous. Whatever the case may be, editing an existing Job Item can be easily done from the Work Order screen. 

To Edit a Job Item:

  1. Click on the Work Orders for SaaSphalt tile

  2. Select the Date Range in the From: and To: date fields (or select All Work Orders in the drop-down box to show all work orders).

  3. Find the Work Order from the list that you wish to edit. To make it easier, use the search box to find a specific Work Order by date/time, customer contact information, the user the job is assigned, type of job, or its completion status.

  4. Click on the Work Order that you wish to edit. This will bring you to the Edit Work Order screen.

  5. Click on Job Item that you wish to edit. This will bring you to the Add/Edit Job Item screen. 

  6. From here you can:

  • Select a different Item from the Item drop-down field. This will automatically adjust the Description and Rate fields for the specified job item.
  • Describe the Item selected in the Description text field. You can use this field to describe the changes you made to the job item.
  • Change how many estimated man hours the job will take. This will be changed on both the Work Order and Route List print outs
  • Change the rate and quantity for each job. The rate will determine the cost per hour. The quantity will change the amount of hours needed to do the job. The quanity is calculated by the information entered into the Job Formula and the measurements of the job at hand. Changing either of these numbers changes the amount that is to be charged for the job. 
  • Decide whether the job item is included on the invoice by checking or unchecking the box next to Included On Invoice
  1. Click Save

  2. You can also delete the Job Item from the Work Order by clicking Delete and then clicking OK on the following pop-up screen.
