Printing Work Orders, Route Lists, and Invoices

Printing out Work Orders:

You can print an itemized list of individual work orders to help keep better track of time and material usage on a per job basis. The printed lists contain each line of the job formula for that job, so that you can keep track of each item (such as gallons of sealer, tonage of asphalt, hours of labor, travel time, etc...). This is the name that you chose when creating the Job Formula

While this might be inefficient to do for a day full of sealcoating driveways (where keeping track of gallons-of-sealer-used per driveway might be more of a pain than it's worth), it is very useful when used for larger jobs to help you keep track of each part of the job. 



To print out a work order for a job:

  1. Click on the Work Orders for SaaSphalt tile

  2. Select the Date Range in the From: and To: date fields (or select All Work Orders in the drop-down box to show all work orders).

  3. Find and select the job or jobs from the list that you wish to print. To make it easier, use the search box to find a specific job by date/time, customer contact information, the user the job is assigned, type of job, or its completion status.

  4. Click Print Work Order. This will bring you to a Preview .pdf page allowing you to view each page before sending it to your printer.

  5. On the .pdf screen you can save the list as a file to your computer, rotate the page, and then finally send the file to your printer. Once you are done saving and/or rotating as necessary click Print to send the file to your printer. 


Printing Route Lists:

You can print out a list of work orders for each user you select. The jobs are printed out in chronological order based on their order on the calendar. The list contains the names of each QuickBooks Item from each line in that job's formula (Labor, Travel, etc...), so that the crew or user can keep track of their work on that given time period.

To print out a route list:  

  1. Click on the Work Orders for SaaSphalt tile

  2. Select the Date Range in the From: and To: date fields (or select All Work Orders in the drop-down box to show all work orders).

  3. Find and select the jobs from the list that you wish to print. To make it easier, use the search box to find a specific job by date/time, customer contact information, the user the job is assigned, type of job, or its completion status.

  4. Click Print Route List. This will bring you to a Preview .pdf page allowing you to view each page before sending it to your printer.

  5. On the .pdf screen you can save the list as a file to your computer, rotate the page, and then finally send the file to your printer. Once you are done saving and/or rotating as necessary click Print to send the file to your printer. 

Creating and Printing Invoices:

SaaSphalt allows you to print out invoices for jobs that have been assigned to a user or crew. Once the invoice is ready to be sent to a customer, the amount can also be added to your specified accounts receivable file QuickBooks with a time-stamp so that you know when the invoice was presented to the customer. 

To create an invoice amount and print the invoice:

  1. Click on the Work Orders for SaaSphalt tile

  2. Select the Date Range in the From: and To: date fields (or select All Work Orders in the drop-down box to show all work orders).

  3. Find and select the jobs from the list that you wish to print. To make it easier, use the search box to find a specific job by date/time, customer contact information, the user the job is assigned, type of job, or its completion status.

  4. Click Create Invoices. This will bring you to the Create Invoice screen. 

  5. Check the box next to Waiting for Sync Approval so that the file can be sent to your Accounts Recievable file. 

  6. Select an accounts receivable file from the AR Account drop-down box. This will be the file that the invoice amount is credited to. 

  7. Select a date for the invoice's time-stamp using the Invoice Date text box. 

  8. To print the invoice, check the box next to Print Invoices.

  9. Click Create Invoices. If you marked the box next to Print Invoices you will be brought to a Preview .pdf page allowing you to view each page before sending it to your printer.

  10. On the .pdf screen you can save the list as a file to your computer, rotate the page, and then finally send the file to your printer. Once you are done saving and/or rotating as necessary click Print to send the file to your printer.
