Time and Material Tracking

Resource and time management is arguably the most important aspect of running a business. So, being able to track both your time and material used and sending that data to your QuickBooks account is also arguably the most important aspect of SaaSphalt, which is done using the Time and Material Tracking for SaaSphalt app. This app allows you to enter both your material and labor costs based on the job items for each work order. 

To Enter a Time or Material:

  1. Click on the Time and Material Tracking for SaaSphalt tile.

  2. Select a user or crew from the Resource drop-down box.

  3. Select a date when the selected resource completed a work order. A list of Job Items will then populate based on the work orders assigned to that resource for that date.

  4. Click on a Job Item.

 

To Enter a Time:

Clicking on a labor item will bring you to the time version of the Time & Material Entry screen. 


  1. Enter a Start and Stop time and Date for the specified job item.

  2. Use the drop-down boxes to select an employee or vendor who worked on the job item. This list is populated by an associated QuickBooks file containing the name of the company employees.

  3. Repeat step 6 for each employee who worked on the job item.

  4. To sync with your QuickBooks account, click the box next to Wait for Sync Approval.

  5. Clicking Existing Time Entries allows you to view any existing entries for that job item.

  6. Click Save


To Enter a Material Amount:

Clicking on a material item will bring you to the material version of the Time and Material Entry screen. 


  1. Enter the amount of material used based on the type of material used (ex: Gallons of Sealer, Linear Feet of Crackfill, Tonage of Asphalt).

  2. Enter the cost per quantity. This cost is set by default based on the job item chosen, though it can be edited. 

  3. Once those two are entered, the Total Cost is calculated by multiplying the two numbers. 

  4. Clicking Existing Material usage allows you to view any existing entries for that job item.

  5. Click Save
