Overview

In QuickBooks, you can create classes that you assign to transactions. Assigning a class to a transaction makes it easier for you to track transactions according to department, location, product or service offered, or any other breakdown that makes sense for your business. Method comes with a number of stock classes you can apply to invoices, sales orders and more. Using classes means you can create separate reports based on those classes, which helps build out your internal trail of breadcrumbs by providing an accurate assessment of which of your products, services, departments, locations, and more are most successful.

As with all things in Method CRM, your stock classes can be edited to suit your purposes, or you can go ahead and create new ones yourself. This section will show you how to create a new class, edit an existing class, and will provide a breakdown of the Class screen to show you what's what.

How to create a new class

  1. From Method CRM, navigate to your Tab group hover menu (please see the documentation for more information) and select QuickBooks. This will generate the QuickBooks tab group.
  2. Click on Lists > Classes. This will generate the New/edit class screen.
  3. The only required field for creating a new class is the class Name. Choose a name that suits the class you are creating and fill in the field.
  4. Sometimes it is helpful (or necessary) to create a class that is a subclass of another class. If that sounds complicated, it isn't: consider if one of your classes refers to cleaning services offered by your company, you may wish to create a subclass that refers specifically to window washing. To do this, click on Subclass of Parent and choose the existing class you'd like to be the "parent" of this class (in our example, you would choose "Cleaning Services"). Remember, you can only associate a class with one that's already in your system, so if you don't already have "Cleaning Services" in your class drop down, you'll have to make that first.
  5. Click on Class is active to ensure this class appears in the drop down menus throughout Method and in the Active filter of the Existing classes grid.
  6. Clicking Save will save the fields above and leave you on this screen. Save & New will save the fields and clear them.

How to edit an existing class

  1. Follow steps 1 and 2 from above.
  2. Scroll down to the Existing classes grid and choose which class you'd like to edit. Click on Select to populate the fields above with the pertinent information associated with this class.
  3. From here, you can change the name of this class, set it to Active or Inactive, make it a subclass of an existing parent, or Delete it using the More actions button (keep in mind Deleting can't be undone).
  4. Clicking Save will save the fields above and leave you on this screen. Save & New will save the fields and clear them.

Screen overview

The following is a breakdown of the New/edit class screen. We'll take a closer look at each element of the screen (drop down menus, buttons, etc.) so you know exactly what each element does. We hope this will be a useful "glossary" of sorts for new users!

New/edit classes

As previously mentioned, there is only one required field to create a new class or save an edited one, but there are a few other options available on this screen. Let's take a look at each of them.

  • Name: This field is, predictably, for the name of your class (new or edited). The name you choose should be an accurate and easy-to-understand representation of the class you are creating or modifying.
  • Subclass of Parent: Clicking on this check box will generate a drop down list of your existing classes in Method. If you want to, you can choose to make your new or edited class a subclass of one of those classes (for example: if the class you're creating is "Landscaping", you may wish to make it a subclass of the parent class "Labor"). Remember, if you want to associate your class to another in this way, the parent class must already be saved in your Method CRM.
  • Class is active: This must be checked in order for the class to appear in drop down menus throughout Method as well as in the Active filter view in the Existing classes grid. If left unchecked, the class will only appear in the Inactive filter view, and will not appear in drop down menus.

Existing classes

Of course, this grid functions the same way as other grids in Method (see our article on Grid functionality for more information). Clicking Select next to the class you want to edit will populate the name field above. While there are several options to be had in editing a class, the only sortable and searchable fields are name and is active (which is a yes/no value).

Buttons

As usual, you will find some familiar buttons at the bottom of this screen that offer you other options to be had. They are as follows:

  • More actions: This button will allow you to Clear / New which will clear the field in preparation for a new class, or Delete class, which can't be undone.
  • Save: This will save the changes.
  • Save & New: This will save the changes and clear the field.
